The Holding Area is a special space in the BIMWorkplace CDE where files are temporarily stored when they do not comply with the naming standard applied to a folder.
It acts as a quality control checkpoint, ensuring that only correctly named and classified documents appear in the main project folders.
1 – Why the Holding Area Exists
Document naming standards are essential for:
- Maintaining consistency across all files
- Ensuring correct version control
- Enabling fast and accurate searches
- Preventing confusion between similar files
When a file fails to meet the naming standard applied to a folder, it is automatically redirected to the Holding Area instead of being stored in its intended location.
2 – Why the Holding Area Exists

Once you have created the desired Naming Standards (click here to remember how):
- Open the three-dot menu of the folder where you want to apply the Naming Standard
- Under More, select Apply Naming Standard
- In the pop-up, choose the Naming Standard you want to apply.
- Select whether it should apply:
- Only to the selected folder, or
- To the folder and all its subfolders.
- Click Apply to save.
From this moment on, files that do not comply with the applied standard – including previously existing files or new uploads – will be sent to the Holding Area.
3 – How to Access the Holding Area
- While in the CDE module, select Holding Area from the side tab.
All the files that need to be reviewed, renamed, and validated will appear here, along with the path to their intended destination and the applied naming standard.
4 – Reviewing and Fixing Files
- Select the files you want to correct.
- You can only edit multiple files at once if they share the same Naming Standard.
- Click Validate to enter edit mode.
- Fields that require attention are highlighted in red. Double-click to edit:
- Dropdown attributes – choose a value from the list
- Text attributes – type the required value
If you want to update all selected files at once (for example, if they all share the same Project ID), click Edit All, fill in the fields, and click Apply in the tab.
- Confirm that all file names comply with the required standard and click Apply to finish.
Once corrected, each file is automatically moved to its final folder.
5 – Permissions in the Holding Area
- Only users with Edit permissions in the CDE can rename or validate files in the Holding Area.
- Users with Read-only access can see the files but not modify them.
6 – Best Practices
- Apply naming standards only where needed, avoiding unnecessary friction.
- Train your team on the project’s naming standards before uploading files.
- Check the Holding Area regularly to keep workflows efficient.
- Maintain the Holding Area clean and up to date to ensure an organized and compliant CDE.
