The Share feature allows you to quickly send files or folders to project members or external users, using secure, traceable links. You can choose whether recipients access the most up-to-date version of a file or a fixed version at the moment of sharing.
1 – Selecting Files to Share
- Select the file(s) and/or folder(s) you want to share in the CDE.
- Click the Share button in the ribbon to open the sharing panel.
2 – Choose Who Will Receive the Shared Content
You can share items in two different ways:
- Share with Project Members
Use this option when sharing internally with users who already have access to the project.
Actions:
- Select the users, groups or companies you want to notify
- Add an optional message
- Click Apply to send
Alternatively:
- Use Links to copy the internal share link.
This link opens the BIMWorkplace platform directly and requires the user to log in.
- Share with Anyone with the Link (External Sharing)
Use this option to share files with people outside the BIMWorkplace environment.
Actions:
- Enter the email addresses of external recipients and add a message (optional)
- Or use Links to generate a public link
This link triggers an automatic download of the shared files (no login required).
3 – Selecting Which Version to Share
Before sending the link, choose one of the two sharing modes:
Latest Version
Recipients will always open the most recent version of the file.
If the file is updated before they click the link, they will access the updated version.
Current Version (Fixed)
Recipients will receive the exact version available at the time of sharing.
Even if new versions are uploaded later, the link will continue to deliver the fixed version.
4 – Managing Shared Links
When a file or folder is shared publicly (Anyone with the Link), an indicator appears showing that a public link exists.
To remove access:
- Select the file(s) or folder(s) that were shared.
- Click Delete Shared in the ribbon.
This action immediately disables the public link and prevents further access.
