Holding Area

The Holding Area is a dedicated space in the BIMWorkplace CDE where files are temporarily stored when they do not comply with the naming standard applied to a folder.
It acts as a quality control checkpoint, ensuring that only correctly named and structured documents are stored in the main project folders.


1. Why the Holding Area Exists

Document naming standards are essential for:

·        Maintaining consistency across all project files

·        Support reliable version control

·        Enable fast and accurate search

·        Prevent confusion between similar documents

When a file does not meet the naming standard applied to a folder, it is automatically redirected to the Holding Area instead of being stored in its intended location.


2. Applying Naming Standards to a Folder

Once a Naming Standard is created:

1.     Right click on the target folder

2.     Select Apply Naming Standard

3.     In the pop-up, choose the desired Naming Standard

4.     Choose whether to apply it:

a.     Only to the selected folder, or

b.     To the folder and all its subfolders.

5.     Click Apply

From that point onward, any file that does not comply – including existing files or new uploads – is sent to the Holding Area.

 

3. Accessing the Holding Area

1.     In the CDE module, select Holding Area from the side panel

All files requiring validation appear here, along with:

·        Their intended destination folder

·        The applied naming standard


4. Reviewing and Fixing Files

1.     Select the files to correct.

a.     Multiple files can be edited together only if they share the same Naming Standard

2.     Click Validate to enter edit mode.

3.     Fields requiring input are highlighted in red. Double-click to edit:

a.     Dropdown attributes – select from predefined values

b.     Text attributes – enter the required value

4.     To update multiple files at once, click Edit All, fill in the fields, and click Apply

5.     Confirm that all files names comply with the standard and click Apply

Once validated, files are automatically moved to their destination folder.


5. Permissions in the Holding Area

·        Users with Edit permissions in the CDE can rename and validate files

·        Users with Read-only access can view files but cannot modify them


6. Best Practices

·        Apply naming standards only where necessary

·        Ensure the team understands the naming rules before uploading files

·        Review the Holding Area regularly

·        Keep it clean to maintain an organized and compliant CDE
